PeopleSoft HCM Upgrade

The PeopleSoft Human Capital Management (HCM) system is a human resources management tool used to maintain information and transactions related to recruitment
and retention, compensation, payroll, benefits, and employee data.

The upgrade of the PeopleSoft HCM system to version 9.1 ensures UTMB has the most
current features and technical support necessary to enable employees and managers to leverage the self-service functions and to accomplish mission critical tasks.

and new industry-specific enhancements.

Its design is based on extensive customer feedback, industry best practices, analysts’ research, and knowledge from Oracle’s human resources industry thought leaders.
Features and Enhancements

Important Updates to MSS – June 2014

To improve the user experience for managers and/or their direct reports, the following Manager Self Service (MSS) system changes and enhancements have been made:

  • HR has enabled the Org Chart Viewer in the system for managers to graphically see an organizational chart of their “reports to” structure. This should make it easier to keep the reporting structures clean and ensure proper routing of transactions or large processes such as merit administration.
  • A hyperlink has been added to email notifications that will take the end-user to the login screen and then to the form requiring approval, saving managers' time and removing the need to navigate to the transaction.
  • Another layer of managers are now able to use MSS to process and route transactions. This layer typically includes administrative managers, supervisors, business coordinators, etc.
  • Managers have the ability to change the “reports to” data as part of the Job Code Reclass, Reorg, or Percent Time changes on the “MSS Change an Existing Position” request form, eliminating the need to submit two requests for the same effective date.
  • Routing on the “MSS Change an Existing Position” request form for Job Code changes and Percent Time changes has an added final approval stop with HRBBC.
  • The system will automatically inhibit duplication of Replacement EAFs if the selected position has an existing active job opening.
  • Standard hours are now required entries on EAF submissions.
  • Health Care Worker indicator on the EAF form and the Change Reports To/Health form is now available for use.

The upgraded system offers a number of new features and enhancements, including but not limited to:

  • Enhanced navigational features and consolidated menu options to help users find pages quickly and easily within Employee Self Service (ESS) and Manager Self Service (MSS)
  • New online forms – Employment Authorization Form (EAF) and Direct Retro Request
  • Automated departmental routing and approvals for transactions
  • The capacity to pull information from source files, resulting in fewer errors and less data entry by managers on forms
  • EAFs matched to positions and job openings, providing improved position management capabilities for budget and financial managers
  • Streamlined job opening process with auto-populated information, new text formatting options, and a job posting preview function
  • Improved system integration for Department Budget Requests (DBR) and fiscal year encumbrances
  • Reduced cycle times for completing transactions
  • The ability for managers to view the current routing status of a transaction
  • Improved processes for determining and maintaining employee levels, hierarchical routing structures, and security roles

Training on the upgraded system is available for all employees, including PeopleSoft HCM departmental users (requestors and/or approvers). It addresses the navigational and functional changes to the PeopleSoft HCM system and provides step-by-step instructions for performing specific tasks in the ESS and MSS systems.

Please note:

  • Training is required for all new PeopleSoft HCM departmental users. New departmental users who do not complete the training will not be granted access to the system.
  • Training also is required for all departmental users of Direct Retro Requests.
  • Training for Academic Enterprise HCM users within the following business units is coordinated by Academic Enterprise: SOM, SON, SHP, GSBS, RSRCH, and ACDVP.
