PeopleSoft HCM Upgrade

The PeopleSoft Human Capital Management (HCM) system is a human resources management tool used to maintain information and transactions related to recruitment
and retention, compensation, payroll, benefits, and employee data.

The upgrade of the PeopleSoft HCM system to version 9.1 ensures UTMB has the most
current features and technical support necessary to enable employees and managers to leverage the self-service functions and to accomplish mission critical tasks.

PeopleSoft HCM 9.1 offers best-in-class integrated talent management, workforce management, and workforce service delivery as well as embedded Web 2.0 capabilities
and new industry-specific enhancements.

Its design is based on extensive customer feedback, industry best practices, analysts’ research, and knowledge from Oracle’s human resources industry thought leaders.
Features and Enhancements
The upgraded system offers a number of new features and enhancements, including
but not limited to:

  • Enhanced navigational features and consolidated menu options to help users find
        pages quickly and easily within Employee Self Service (ESS) and Manager Self
        Service (MSS)
  • New online forms – Employment Authorization Form (EAF), Salary Determination
        Worksheet, and Direct Retro Request
  • Automated departmental routing and approvals for transactions
  • The capacity to pull information from source files, resulting in fewer errors and less
        data entry by managers on forms
  • EAFs matched to positions and job openings, providing improved position management
        capabilities for budget and financial managers
  • Streamlined job opening process with auto-populated information, new text formatting
        options, and a job posting preview function
  • Improved system integration for Department Budget Requests (DBR) and fiscal
        year encumbrances
  • Reduced cycle times for completing transactions
  • The ability for managers to view the current routing status of a transaction
  • Improved processes for determining and maintaining employee levels, hierarchical
        routing structures, and security roles

  • Training
    Training on the upgraded system is available for all employees, including PeopleSoft HCM departmental users (requestors and/or approvers). It addresses the navigational and functional changes to the PeopleSoft HCM system and provides step-by-step instructions for performing specific tasks in the ESS and MSS systems.

    Please note:

  • Training is required for all new PeopleSoft HCM departmental users. New departmental
        users who do not complete the training will not be granted access to the system.
  • Training also is required for all departmental users of Direct Retro Requests.
  • Training for Academic Enterprise HCM users within the following business units is
        coordinated by Academic Enterprise: SOM, SON, SHP, GSBS, RSRCH, and ACDVP.
  • Training for Correctional Managed Care (CMC) users is coordinated by the CMC HRBBC
