Job Summary:

To provide management support to Community Based Clinic (CBC) physicians for activities relating to physician compensation, malpractice insurance, general record keeping, coding support and physician relations. 

Major Duties / Critical Tasks:

Physician Compensation:

  • Manages and prepares:
    • Monthly computation of worked RVU’s using MGMA software and charge posting information from the Physician Billing Service Signature Billing System.
    • Calculation, preparation, and distribution of monthly physician detail to physicians including: Physician Service Practice Analysis (PSPA) reports, Personal Goal/Objective Setting, Charge Posting Greater than 30 days from date of service, quarterly compilation and computation of incentives for supervising mid-level providers.
    • Ensures professional and timely dissemination of incentive performance reports to CBC physicians. This may at time include personally delivering and reviewing reports with physicians.
    • Ensures physicians and/or administration have a full understanding of the mathematical calculations involved in computing physician salaries based upon RVU’s through personal meetings and telephone conversations.

Report Management:

  • Oversees Coding Supervisor’s analysis of coding data for new and follow-up visits by physicians prior to constructing bell curve graphs for each physician to view their coding patterns. 
  • Prepares monthly and year-to-date Clinic Relative Value Reports and Physician by Specialty Reports using Signature data. 
  • Oversees distribution of all reports to medical directors and physicians.
  • Prepare special reports for management and medical directors as needed.
  • Maintains strict confidentiality with regards to sensitive data by using passwords as necessary and keeping all confidential material locked up.
  • Ensures appropriate information is available in a central location for co-workers and management and that all worksheets are labeled with the date and file location.

Physician Relations:

  • Works with the Coding Supervisor and the Management Analyst II to provide education for current physicians and new hires relating to coding and compliance and monthly compensation including:
    • Teaching physician rules
    • Correct coding practices
    • Productivity goals
    • How to interpret monthly performance reports
  • Performs quarterly review of premium charges relating to malpractice insurance.

Program Development and Project Coordination:

  • Leads/participates, as appropriate, in collaborative team approaches to developing and enhancing an integrated system of reporting. 
  • Embraces change by promoting teamwork and continuous process improvement.
  • Has the ability to support other job functions, activities, and other team members at appropriate times.
  • Works with projects to a timely resolution and completes assignments according to agreed upon deadlines. Updates the appropriate persons of progress of the project(s) as appropriate through biweekly meetings with the supervisor. 

Communication:

  • Provides the Associate Medical Director for CBC Physicians with regular physician activity reports
  • Effectively communicates with the Associate Director for CBC Physicians, CBC physicians, management, and co-workers both verbally and in writing.
  • Recognizes the need and responds in a timely manner to inform the Associate Medical Director for CBC Physicians of physician related operational issues within areas of responsibility. 
  • Effectively communicates with other members of the CBC physician management team and clinic operations team to ensure an efficient working relationship
  • Values differences by listening to and appreciating other’s points of view.
  • Recognizes the importance and value of feedback and positively changes performance based upon feedback given.

Supervision:

  • Hires, trains, supervises, and evaluates the Coding Supervisor and the Management Analyst II. 
  • Delegates assignments to the Coding Supervisor and the Management Analyst II and reviews all work prior to distribution. 

Professional Growth and Development:

  • Actively participates in continuing education activities which demonstrate an acceptance for the responsibility for professional development. 
  • Takes the initiative to develop and implement action plans for self-improvement.
  • Meets regularly with the Faculty Group Practice Administrator and the Associate Medical Director in charge of CBC physicians.
  • Assists the Associate Medical Director with special CBC projects.

Required Education / Experience:

Bachelor’s degree or equivalent in related field or certified as a PA. Four years related experience.

Equipment: 

Standard office equipment.

Working Environment:

Standard hospital, clinical and / or office environments.
