JOB SUMMARY:

Provides professional advisory, technical, and administrative skills in an institutional reporting, architectural and environmental graphics, real estate and property management and facility planning programming capacities in support of the FOAM Development process.

 

 MAJOR DUTIES / CRITICAL TASKS:

  • Provides team leadership for and assures space survey work is accurate and complete.

  • Assists in the processing of the space survey work documents or any other tasks as required to support the on-going space survey effort.  Assists in the data verification process and the filing of the space survey forms.  Helps in the preparation of the space survey packets for the departmental representative and the survey team.

  • Supports and applies the coding definitions properly during the interview process and completion of the interview forms (understands OMB Circular A-21 definitions and THECB coding requirements.

  • Develops and maintains Risk Management strategies for current role descriptions as appropriate.

  • Provides team leadership, organization and training of the Facilities Information Technicians and cross training of any other appropriate Planning team members.

  • Acts as liaison to the other Cad groups within UTMB and external organizations.

  • Helps develop and maintain the key and room numbering policy and guidelines.

  • Works with various municipalities on real estate regulatory issues including historical properties.

  • Defines the needs of the customer, interprets and presents those needs as a problem statement.

  • Supports and work closely with Facility Planner.

  • Develops and maintains inventory of all current planning programming projects.

  • Insures that all applicable codes are complied within the programming stage.

  • Stays abreast of current facility products and services.

  • Assists in the recycling of various materials or products used in the planning process.

  • Assists with special projects as directed by the Planning ream and FOAM leadership or other related tasks as required.

  • Adheres to all UTMB commissioning guidelines.

  • Prepares departmental presentation data for existing or future facilities program studies, special or specific projects or other related tasks as required.

  • Prepares/administers professional contracts.

  • Evaluates general contractors and Architects/Engineers in relation to projects within the responsibilities of this role.

  • Maintains and updates the Planning team weekly task listing and oversees the team process manual.  Participates in project status reviews with departmental project managers and essential staff.

  • Provides cross training to the Planning team as it relates to the position.

  • Manages and maintains UTMB Environmental Graphics and Wayfinding standards.

  • Coordinates and supports the Development teams with Environmental and Wayfinding needs, as required.

  • Models role specific competencies as developed by Support Services.

  • Obtains surveys and appraisals on sales and acquisitions.

  • Works with user groups on applying the Texas Department License & Regulation for inspections of lease space before occupancy.

  • Maintains inventory of lease space.

  • Verifies that the preliminary budget and schedule are consistent with the initial project intent.

  • Assists in the preparation of UTMB Capital Improvement Plan, the THECB Campus Master Plan and any other special studies, reports, proposals or specialized data analysis regarding UTMB facilities and communicate this information as required.

  • Maintains, in combination with the FOAM LAN Administrator, the space inventory software, related data sets, any data submissions to UT System along with any state and federal agencies regarding facilities data or reporting.  Provides support in the development or procurement of new software programs relating to the Planning team.

  • Manages and conducts the space surveys in accordance with required standards and procedures, working with the appropriate faculty and staff to ascertain current utilization of the space assigned to the department.

  • Requires the ability to work with the Institution, Community, Facilities Planner and capital project teams to achieve desired outcomes as it relates to role.

  • Provides expertise, research, development, recommend CAD guidelines policies and formats for the Planning team and FOAM.

  • Provides conceptual/developmental design to support FOAM leadership and team members in their activities.

  • Manages and oversees the off-campus properties with respect to lease negotiation, renovation and construction projects, landlord tenant issues and any necessary regulatory or other related issues.

  • Adheres to internal controls and reporting structure.

  • Performs related duties as required.

 

REQUIRED EDUCATION / EXPERIENCE:

Bachelor’s degree or equivalent and two years of related experience
