JOB SUMMARY:

Provides technical support for internal and external customer requests for information and service relating to all aspects of building/campus documentation.  Assists in the maintenance of departmental databases that provide information regarding building drawings, surveys, manuals, keying, and facilities inventory.

 

MAJOR DUTIES / CRITICAL TASKS:

  • Creates and updates, through electronic conversion; space survey floor plans and firewall floor plans for both UTMB owned and leased facilities.

  • Maintains and updates through electronic conversion; site survey plans and A & E documentation.  Must be knowledgeable of Joint Commission compliance issues and American Disability Act.

  • Field verifies construction and survey drawings to update the space survey drawings and site plans.

  • Provides assistance to departmental staff and consultants regarding UTMB infrastructure and facilities systems, drawings, and supporting documentation.  Prepares and provides any approved prints or copies.

  • Monitors applicable work schedules or project inventories for UTMB construction projects ensuring that the space survey drawings, space survey database, the campus base/zone maps, site survey and A/E documents for UTMB owned and leased facilities, are kept current and accurate.

  • Creates and updates the color-coded polyline building drawings and departmental floor plans.

  • Prepares and processes any necessary transmittals, construction plans (all phases), “As-built” drawings, specifications, maintenance and operations manuals, and any other related correspondence or documents in accordance with established work flow procedures.

  • Scans and convert infrastructure and facilities drawings, specifications and maintenance and operations manuals to electronic format for permanent archive retention.

  • Enters and maintains facilities drawings and supported documentation into the electronic management database system.

  • Train and assist staff in locating and Translating Record Documentation; printing electronic facilities drawings and other forms of electronic documents 

  • Assists in the processing, data verification and filing of space survey work documents or  space survey packets for the department.

  • Maintains building, room, departmental database tables.

  • Generates building and departmental reports from database.

  • Assists in year end process of data to close out database.

  • Add or make changes in the keying database to reflect changes in building information.

  • Assists departmental staff as approved with Computer Aided Design and Drafting support, UTMB room numbering or signage/identification system and keying information.

  • Assist and generates departmental presentation data in the form of charts, photos or maps for leadership and office staff of existing or future facilities program studies, special or specific projects or other related tasks as required.

  • Learns new computer software, as the position requires.

  • Maintains and monitors computer aided technology and departmental office equipment and keeps all equipment functioning and in good repair.

  • Performs related duties as required.

 

REQUIRED EDUCATION / EXPERIENCE:

High School diploma or equivalent and one year experience with computer aided technology or CADD certification. 

 

EQUIPMENT:

Standard office equipment, digital camera, plotters, and large format scanners, copiers and printers

 

WORKING ENVIRONMENT:

Standard office environment and some construction site environment.
