Job Summary:
Responsible for assisting with planning and managing the daily operations and
administration of Fleet Services to ensure effective diagnosis, repair, and
maintenance of UTMB vehicles while anticipating and meeting customer needs, all
in support of the Logistics process.
Major Duties / Critical Tasks:
- Responsible for coordinating process activities of direct areas of
responsibility, as well as assisting with effective performance management and
coaching of assigned staff members.
- Coordinates, facilitates, and assists with team responsibilities and
administrative duties required of all Logistics’ teams (i.e. strategic planning,
team meetings, time capture, records retention schedules, member of Logistics
Business Unit Coordination Council (BUCC).
- Facilitates internal controls with reasonable assurances that operations are
effective and efficient, assets are safe guarded, and is in compliance with
applicable laws, regulations, and policies.
- Facilitates staff development and training ensuring assigned staff members are
up to date on proper use of computer related systems, proper use of equipment,
all required UTMB classes, and professional development.
- Coordinates process benchmarking and facilitates continuous process improvement.
- Facilitates the coordination of efforts between multiple work teams to meet
outcomes beneficial to the customer needs.
- Recommends actions pertinent to personnel management functions for assigned
personnel.
- Develops a strong partnership with customers to proactively understand their
vehicle needs.
- Provides technical expertise and coordinates with customers in planning future
vehicle needs.
- Coordinates with multiple customers to meet outcomes beneficial to their needs.
- Coordinates work being performed by contractors (e.g., warranty, recalls, and
body damage repairs).
- Coordinates vehicle services ensuring appropriate resources (labor and parts)
are available.
- Compiles and analyzes operational reports and recommends appropriate action.
- Assists in conducting cost studies regarding the area process charge
structure/billing system.
- Monitors and reports production and/or team outcomes.
- Coordinates compliance with all applicable UTMB, State, and Federal rules and
regulations.
- Facilitates the development of area policies and procedures ensuring compliance
with applicable rules and regulations.
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
Required Education / Experience:
High School Diploma or equivalent and four years of related experience. Valid
Texas Commercial Drivers License. UTMB Motor Vehicle Safety Course. Minimum of
two (2) ASE field certifications or Master ASE certification.
Accompanying Knowledge, Skills, Abilities & Competencies (KSACs)
- Knowledge of fleet management principles; purchasing methodologies; computerized
fleet vehicle systems;
- General knowledge of and various application software such as Microsoft Word,
Excel and electronic mail, Internet, mainframe, web based applications, and
inquiry systems.
- Good team building and coaching skills,
- Good verbal and written communication skills,
- Good employee development skills including the ability to assist with the
development of training materials, and operational policies and procedures.

Any
qualifications to be considered as equivalents in lieu of stated minimums
