JOB SUMMARY:
To provide administrative and supervisory skills
necessary to manage the daily operations of Central Receiving; Inventory; or
Delivery; and to ensure effective supply chain management of designated
inventories, materials, and equipment.
ESSENTIAL JOB FUNCTIONS:
All Areas:
-
Supervises activities of personnel for direct areas of responsibility;
instructs staff in procedures and techniques; reviews work of staff to
assure that standards are being followed; provides effective performance
management and coaching of assigned staff members.

Accountable for team responsibilities and administrative duties required of
all Logistics’ warehouse operations teams (i.e. strategic planning, team
meetings, time capture, records retention schedules, and participates as a
member of Logistics’ Business Unit Coordination Council (BUCC)

Responsible for internal controls with reasonable assurances that operations
are effective and efficient, assets are safe guarded, and is in compliance
with applicable laws, regulations, and policies.

Responsible for staff development and training ensuring assigned staff
members are up to date on proper use of computer related systems, proper use
of equipment, and all required UTMB classes.

Responsible for process benchmarking and continuous process improvement.
-
Responsible for the coordination of efforts between multiple work teams to
meet outcomes beneficial to the customer needs.

Recommends actions pertinent to personnel management functions for assigned
personnel.

Adheres to internal controls and reporting structure.
-
Assists with interviewing applicants and makes recommendations for hiring.
-
Handles complex questions or problems regarding policies and procedures for
direct area of responsibility.
Central Receiving:
-
Responsible for the development and implementation of area policies and
procedures to facilitate safe and effective receiving, shipping and surplus
inventory processes.
-
Ensures docking, receipt creation, and asset tagging of daily shipments are
done according to established timelines before forwarding items to the
delivery team.
-
Ensures all functions related to surplus property are performed in
accordance with local and state regulations and policies.

Oversees the
acquisition of surplus property from university departments for reutilization or
disposal.

Determines and
administers policies and procedures relating to the disposal of university
property.

Reviews surplus property
related documents to ensure accuracy and adherence to policies, regulations
and statutes.

Inspects loading and unloading operations to ensure compliance.
-
Compiles and analyzes operational reports, recommending appropriate actions
to help assist with effective receiving, shipping and surplus inventory
processes.

Determines shipping priorities, work assignments, and shipping methods
required to meet schedules.
-
Ensures accuracy, completeness, and condition of shipments.
-
Assists with managing Receiving/Distribution systems to maximize cost
effectiveness and customer satisfaction to meet UTMB fiscal and
institutional performance objectives.

Develops and maintains effective partnerships with internal and external
customers to proactively understand ordering/receiving habits to assist with
their needs.
-
Maintains a clean, neat, organized, and orderly receiving area/vehicles and
office environment that are highly professional at all times and in
accordance with all UTMB, state and federal guidelines.

Operate standard materials handling equipment and vehicles.
Inventory:
-
Responsible for the development and implementation of area policies and
procedures to facilitate safe and effective Inventory Management processes.
-
Compiles and analyzes operational reports, recommending appropriate actions
to help assist with effective Inventory Management processes.
-
Assists with managing Supply Management inventories and inventory systems to
maximize cost effectiveness and customer satisfaction to meet UTMB fiscal
and clinical performance objectives.

Develops and maintains effective partnerships with internal and external
customers to proactively understand ordering/receiving habits to assist with
their needs.
-
Assists with effective operations of the Materials Management Information
System and related computer systems.
-
Responsible for process benchmarking and continuous process improvement.

Maintains a clean, neat, organized, and orderly warehouse and office
environment that is highly professional at all times and in accordance with
all UTMB, state and federal guidelines.

Delivery:
-
Responsible for the development and implementation of area policies and
procedures to facilitate safe and effective delivery process.
-
Focuses on activities and needs of drivers to facilitate driver retention.
-
Resolves all problems of drivers.
-
Responsible for the successful delivery of loads through effective dispatch
activities by assigning routes, developing contingency plans and promotes
customer service.
-
Actively promotes safety programs throughout the delivery area by conducting
safety meetings, communicating safety program messages, completion of safety
required testing, etc.
-
Ensures that all drivers comply with DOT compliance regulations.
-
Communicates with drivers to be sure their equipment is operating properly
and they have all the tools they need to do their job.
-
Follows-up on all equipment needs with equipment vendors to be sure trucks
and support equipment are serviced and repaired properly and on time to keep
equipment uptime at a maximum.

Schedules and ensures that
surplus property is picked up from or delivered to university departments.
-
Audits driver logs and routing reports to be sure they are accurate and in
compliance with all internal and external regulations.

Compiles and analyzes operational reports, recommending appropriate actions
for effective and timely delivery.
-
Develops and maintains effective partnerships with internal and external
customers to proactively understand ordering/receiving habits to assist with
their needs.
-
Maintains a clean, neat, organized, and orderly distribution areas/vehicles
and office environment in a manner that is highly professional at all times
and in accordance with all UTMB, state and federal guidelines.

Operates standard materials handling equipment and vehicles.
MARGINAL OR PERIODIC JOB FUNCTIONS:
REQUIRED EDUCATION / EXPERIENCE:

High School Diploma or equivalent and four years of related experience.
-
Valid Texas Drivers License.
-
Fork lift Certification
-
UTMB Motor Vehicle Safety Course
EQUIPMENT:
Works with various equipment which lifts, push,
pull, stack, or move materials and equipment. Standard office equipment.
WORKING ENVIRONMENT/LOCATION OF POSITION:
Standard office / warehouse / hospital
environment.

Specific job requirements or physical location
