Job Summary:
Responsible for the daily operations of the Inventory, Receiving, Distribution
and/or Mail Services areas to ensure effective supply chain management of
designated inventories, materials, equipment, mail and services.
Major Duties / Critical Tasks:
All Areas:
- Works safely and in compliance with applicable laws, regulations, and policies.
- Keeps current and up to date with all required training and staying current in
field of expertise.
- Works with multiple work teams to meet outcomes beneficial to the customer
needs.
- Develops and maintains effective partnerships with internal and external
customers to proactively understand customer needs.
- Operate standard materials handling equipment.
- Utilize email and Internet for work related communications.
- Maintains vehicle usage log, inspects condition of tires, checks oil, tops off
the fuel once per week, maintains vehicle cleanliness inside and out, and
reports any needed maintenance.
- Adheres to internal controls established for process.
- Performs other duties as assigned.
Inventory:
- Performs a combination of daily task associated with the inventory process, but
not limited to, the following:
- Prioritizes daily work assignments
- Receives in merchandise for inventory process
- Puts merchandise away in assigned locations
- Does “let-downs of merchandise” from the reserve location to the primary case
location
- “Replenishment of merchandise” from Case locations to Repack locations
- Pulls merchandise from inventory stock for customer orders
- Delivers “Stat” orders to the hospital storeroom
- Prepares customer orders for delivery
- Keeps warehouse neat, clean and well organized
- Provides data for the compilation and analysis of operational reports, to help
assist with effective Inventory Management processes.
- Troubleshoots and communicates regarding Supply Management inventories and
inventory systems to maximize cost effectiveness and customer satisfaction to
meet UTMB fiscal and clinical performance objectives.
- Utilizes the Materials Management information system and related computer
systems for daily operational needs.
- Supports and assists with cross training of team members.
- Maintains a clean, neat, organized, and orderly warehouse and office environment
that is highly professional at all times and in accordance with all UTMB, state
and federal guidelines.
Delivery:
- Performs a combination of daily tasks associated with the distribution of
merchandise to the hospitals and UTMB campus, but not limited to, the following
duties:
- Sorts and stages merchandise into appropriate route for delivery.
- Assists delivery team members in the preparation of orders for delivery to
customers.
- Prepares orders for the safe transportation, i.e. plastic wrap, furniture
pads, tie downs, etc.
- Prepare documentation of merchandise for signature and tracking purposes.
- Safely loads and unloads material handling equipment and merchandise going to
and from customers.
- Delivers and picks up orders from the customer in a courteous and timely
manner.
- Obtains proper authorized signature for delivered and returned merchandise.
- Updates manifest to reflect actual delivery locations.
- Responsible for the return of materials handling equipment to it’s proper
location.
- Returned merchandise is delivered to the appropriate location, (i.e. shipping,
receiving, Inventory) obtaining the appropriate signatures.
- Provides input for the management of the Cylinder and Distribution operations to
maximize cost effectiveness and customer satisfaction to meet UTMB fiscal and
institutional performance objectives.
- Reviews discrepancies and takes appropriate corrective action as required.
- Operates standard vehicles that do not require a commercial license.
- Maintains a clean, neat, organized, and orderly distribution areas/vehicles and
office environment in a manner that is highly professional at all times and in
accordance with all UTMB, state and federal guidelines.
- Operates standard materials handling equipment and vehicles.
- Fills a variety of cryogenic liquid containers/tanks with liquid nitrogen or
Liquid oxygen.
- Utilizes on-line system(s) in the receipt, delivery, and tracking of materials,
records, and/or equipment.
Receiving:
- Performs a combination of daily task associated with the
receiving/shipping/surplus process, but not limited to, the following:
- Docks in merchandise coming into Central Receiving and Inventory in the
receiving system.
- Assist carrier truck drivers with the unloading of merchandise.
- Moves bulk shipments to either the bulk receiving area or the Inventory
receiving area.
- Finds the correct delivery location for non-PO shipments.
- Inspects PO shipments for damage and correctness against the PO and packing
slip.
- Separate “stat flagged” orders, radioactive shipments, and cold packs for rush
delivery.
- Takes customer call and emails. Resolves and/or refers in as an appropriate
manner.
- Manifests and delivers rush and radioactive orders to the customer.
- Prepares outbound shipping for the return of merchandise to vendors and repair
service providers.
- Receive in surplus inventory and host open houses and assist with periodic
auctions of surplus equipment.
- Works safely and in compliance with applicable laws, regulations, and policies.
- Keeps current and up-to-date with all required training and staying current in

Mail:
- Performs any combination of the following daily tasks associated with processing
mail for the UTMB campus community:
- Unloading and loading of the U.S. Postal Service mail truck.
- Primary sorting of all incoming Campus or U.S. Postal Service mail.
- Secondary sorting of incoming Campus or U.S. Postal Service mail.
- Packaging or banding/prep work associated with departmental mail carrier
delivery.
- Preparation and documentation on Accountable mail for signature and tracking
purposes.
- Packing and unpacking of mail and merchandise into materials handling
equipment.
- Deliver and pick up mail from the customer in a courteous and timely manner.
- Obtain proper authorized signature for delivered and returned accountable
mail.
- Processing of outbound mail in accordance with Postal Service guidelines
ensuring proper rate, account number and documentation is given.
- Responsible return of materials handling equipment to it’s proper location.
- Returned merchandise recorded properly in tracking system and written up for
Postal representative obtaining appropriate signature.
- Provides input and makes recommendations for appropriate actions to help with
mail processing accuracy and efficiency.
- Modifies casing units or sorting bins as changes occur in order to ensure
accuracy and efficiency.
- Reviews discrepancies and takes appropriate corrective action as required.
- Maintains a clean, neat, organized, and orderly Mail Center, and delivery
vehicle in a manner that is highly professional at all times and in accordance
with all UTMB, state and federal guidelines.
- Operates standard materials handling equipment and vehicles.
- Utilizes mail accounting system(s) accurately in the processing of outbound
mail.
Required Education / Experience:
- High school education and no experience required
- Valid Texas Drivers License
- Fork lift Certification (can be done on the job)
- UTMB Motor Vehicle Safety Course - except for Mail (can be done on the job)
Equipment:
Standard office and materials handling equipment.
Forklift and
UTMB Vehicles
Working Environment:
Standard office and/or warehouse environments.
Other:
Be able to lift up to 50lbs (70 lbs for Mail), operate material handling
equipment, combinations of sedentary work and ability to walk around warehouse
and/or mailroom conducting work activities and campus to attend meetings among
campus customers/constituents and to travel to other meeting sites as necessary. Specific job requirements or physical location of some positions allocated to
this classification, may render this position security sensitive, and thereby
subject to the provisions of Section 51.215, Texas Education Code.
Any
qualifications to be considered as equivalents in lieu of stated minimums
require the prior approval of the Chief Human Resources Officer.
