JOB SUMMARY:
Performs the duties required by the Chairman of
the Department of Pathology to effectively and efficiently achieve the
established departmental goals and objectives, including but not limited to
plan, organize, coordinate and execute administrative duties, interacts with
other executives, administrators, faculty members, residents, graduate students
and staff support personnel as required; oversee that the office operation are
effective and efficient while seeking root causes of problems and initiating
actions for long term solutions.
ESSENTIAL JOB FUNCTIONS:

With minimal supervision plans, organized and coordinates administrative
duties for this position and the senior secretary in the Department of
Pathology’s Chairman Office.

Organizes and coordinates time-sensitive projects for the Chairman to ensure
the efficient completion in a timely manner.

Responds to and initiates correspondence on behalf of the Chairman.

Responsible for the effective and confidential operations of the Chairman’s
office.

Understand the mission of the department and UTMB organization to
effectively maintain internal and external relationships of the office.

Exercises discretion and judgment with internal (faculty members, residents,
graduate students, technicians and support staff) and external verbal and
written communications.

Interacts and coordinates schedules with other executives, administrators
and their associates, within the UTMB-Galveston system.

Assists the Chairman in attaining the departmental goals and objectives.

Prepares meeting agendas.
-
Interviews and participated in the selection process for the academic
publications and lecture preparation position within the Chairman’s office.

Adheres to internal controls and reporting structure.
MARGINAL OR PERIODIC JOB FUNCTIONS:
-
Revise autopsy reports and ensure that the
provisional and final reports of the autopsy performed by the Chairman are
completed within the established guidelines.

Coordinate the annual faculty evaluation
process.

Assist in the annual election of members to
the Appointment, Tenure and Promotion and Post tenure review Committees.

Schedule all travel for the Chairman.

Communicates with applicant and speakers on
behalf of the Department of Pathology for the purpose of scheduling
necessary travel and coordination itineraries with intra- and inter
departmental faculty members.

Performs related duties as required.
REQUIRED EDUCATION / EXPERIENCE:
Bachelor’s Degree or equivalent and 4 years of
related experience.
EQUIPMENT:
Standard office equipment.
WORKING ENVIRONMENT/LOCATION OF POSITION:
Standard hospital, clinical, laboratory and/or
office environments. May be exposed to such occupational hazards such as
communicable diseases, harmful chemicals, and/or disoriented or combative
patients.
OTHER:
Specific job requirements or physical location
of some positions allocated to this classification, may render this position
security sensitive, and thereby subject to the provisions of Section 51.215,
Texas Education Code.
