JOB SUMMARY:

To provide clerical, secretarial, and office administrative support to a process or area ensuring operational administrative process continuity.

 

MAJOR DUTIES / CRITICAL TASKS:

 

(Software related tasks)

  • Responsible for data entry in a variety of systems including the creation, retrieval, and/or update of electronic files checking and verifying the correctness and completeness of data entered.

  • Types standard office forms, correspondence, reports, and other routine documents utilizing typewriter, word processor, or computer software package.

  • Prepares simple spreadsheets.

  • Utilizes spreadsheets and databases in maintaining and organizing process and/or area records.

  • Proofreads all completed assignments.

 

(Clerical tasks – filing, scheduling, reporting, etc.)

  • Performs a variety of routine miscellaneous clerical tasks, as defined by area/process, such as making copies, filing, faxing information, and maintaining area bulletin boards.

  • Picks up and delivers correspondence, automated reports, etc.

  • Sorts, stamps, and distributes incoming mail and prepares outgoing mail.

  • Maintains calendars and schedules meetings as needed.

  • Assists in compiling data for reports.

  • Pages staff via computer.

 

(Customer Service)

  • Serves as receptionist, routing visitors and callers or taking and delivering messages to appropriate individual.

  • Answers telephone, screens and routes calls, and responds to a variety of general customer requests.

 

(Miscellaneous)

  • Assists with special projects.

  • Produces accurate work.

  • Prioritizes daily work assignments.

  • Contributes ideas and suggestions for improvements to the process.

  • Supports and assists in the cross training of team members.

  • Attends training programs.

  • Learns and applies policies and procedures for the work process.

  • Adheres to internal controls and reporting structure.

  • Performs related duties as required.

 

REQUIRED EDUCATION / EXPERIENCE:

High school diploma or equivalent and 1 year of office related experience.

Ability to type 20 wpm and pass the spelling test with 85% accuracy.

 

EQUIPMENT:

Basic office equipment

 

WORKING ENVIRONMENT:

Standard office environment
