Job Summary:
Responsible for the coordination, appraisal, scheduling, handling, storing,
retrieval, and preservation of official records on any medium in compliance with
institutional, state and federal regulations and guidelines for UTMB.
Major Duties / Critical Tasks:
- Reviews draft records retention schedules to ensure compliance with legal
requirements and state and institutional standards; perform research and
recommend standards based on investigations.
- Evaluates the records management needs of departments; develops and
implements records management standards, policies, and procedures in
consultation with The Records Management Officer.
- Keeps up to date with records management best practice and advises the
Records Management Officer where implementation would add value to the current
service provided.
- Performs specialized records or related information systems studies.
- Compiles and analyzes operational reports and recommends appropriate
action.
- Monitors and reports production and/or team outcomes.
- Coordinates process activities for work team (e.g., team workload, work
assignments, and team coverage).
- Facilitates the development of area policies and procedures ensuring
compliance with applicable rules and regulations.
- Assists, recommends, and facilitates the collaborative development of team
process change, new programs, and strategic planning.
- Maintains area process documentation such as process maps, policies and
procedures, and rules and regulations.
- Provides guidance and mentoring in the professional development of
individuals and/or teams.
- Provides team support regarding technical expertise, problem
resolution/troubleshooting, training, coaching, and team facilitation.
- May serve as lead on project work.
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
Required Education / Experience:
Bachelor’s Degree or equivalent and two years of related experience.
Valid Texas Drivers License
Equipment:
Standard office equipment.

Standard office environment and records storage areas.
Other:
