Job Summary:
Responsible for the appraisal, scheduling, handling, storing, retrieval, and
disposition/ preservation of official records on any medium in compliance with
institutional, state and federal regulations and guidelines for UTMB.
Major Duties / Critical Tasks:
- Provides advice to department personnel in the development of records
inventories.
- Maintains and retrieves records from internal storage.
- Coordinates the pick up and delivery of records to and from customers.
- Destroys obsolete records and maintains required destruction documentation
in accordance with the current records retention schedule.
- Converts documents to microfilm and electronic images.
- Interacts regularly with people at a variety of levels in side and/or
outside the process.
- Handles inquires regarding policies, procedures, and operation of process
area.
- Resolves problems that can be handled on initial call.
- Validates and maintains record center forms.
- Maintains process area files and runs reports utilizing spreadsheets,
databases, and/or computer software packages.
- Compiles data for reports.
- Prepares materials for presentation of records management workshops and
similar instructional sessions.
- Contributes ideas and suggestions for improvements to the Process.
- Assists in the development of policies and procedures.
- Supports and assists in the cross training of team members
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
Required Education / Experience:
Bachelor’s degree or equivalent and no experience required.
Valid Texas Drivers License
Knowledge, Skills and Abilities:
- Working knowledge of current Records Retention Schedule.
- Detail oriented with the ability to maintain adequate/proper
documentation.
- Ability to process film.
- Good verbal communication skills.
- Working knowledge of the area process.
- Basic problem resolution skills.
- Ability to operate standard office equipment.
- Ability to create documents utilizing database, spreadsheet, and other
computer software packages (e.g., Excel, Access).
- Working knowledge of personal computers.
- Good time management skills.
- Ability to work in a team based environment contributing ideas,
participating in team decisions, and achieving team outcomes.
