JOB SUMMARY:

To provide legal secretarial and clerical support to the Attorneys and Legal Assistants within the Department of Legal Affairs.

MAJOR DUTIES / CRITICAL TASKS:

  • Drafts contracts and other documents for review by attorneys.
  • Proofreads completed contracts for accuracy and compliance with the requirements of the Office of General Counsel and University.
  • Gathers and compiles Public Information Act responses, subpoena responses and Appeal Hearing documents.
  • Acts as department liaison with UTMB Administration, UT System’s Office of General Counsel, Office of the Attorney General and outside organizations.
  • Maintains and organizes contract and confidential litigation files.
  • Opens and closes legal case files.
  • Makes travel arrangements for attorneys.
  • Answers and screens telephone calls.
  • Orders, distributes, and takes inventory of office supplies and legal publications.
  • Coordinates and maintains appointment, deadline and docket calendars for Attorneys.
  • Processes invoices for payment.
  • Assists in maintaining the law library.
  • Handles administrative needs of the department for daily operations.
  • Adheres to internal controls established for department.
  • Performs related duties as required.

REQUIRED EDUCATION / EXPERIENCE:

High school graduation or equivalent and four years of related experience.  Must pass typing test at a net rate of 40 wpm and pass spelling test with 85% accuracy.

EQUIPMENT:

Standard office equipment.

WORKING ENVIRONMENT:

Standard office environment.
