JOB SUMMARY: Processes contributions to the University including daily recording and receipting of contributions and the management of related constituent information. Performs extensive and detail-oriented data entry of confidential information, reconciliations and reporting.
ESSENTIAL JOB FUNCTIONS: · Processes the daily gift folder to include the following: o Evaluates gift materials to document the donor’s intention. o Works with development officers, department chairs, administrators, faculty and staff to identify accounts to receive gifts. o Works with Treasury and department representatives to establish new gift accounts. o Enters each gift into Raiser’s Edge database; gift entry may include but is not limited to gift amount, type, fund, payment schedule, campaign, and appeal. o Works with supervisor to create and appropriately code new funds consistent with operating standards and procedures. o Responsible for the entry of on-line contributions following standard gift policy and procedures. · Responsible for assessing and updating constituent information in the processing of contributions. Compares all constituent information against existing data and is responsible for updating constituent information to ensure data integrity. Establishes constituent records for new donors using department standards and coding guidelines. · Produces standard daily, weekly, and monthly reports and correspondence. These include, but are not limited to, daily postings and receipts, weekly clearing reports, monthly pledge reminders, and standard monthly reports. · Receives and prepares contributions for deposit to include the following; reviews and validates materials as university gifts, prepares gift checks and deposit slip, deposits contributions according to university, OUA, accounting and gift counting standards, and creates daily gift folder. · Responsible for the accurate and timely receipting of contributions to donors. · Prepares monthly pledge reminders for advance review by development officers to support special handling. Distributes pledge reminders to contributors. · Responsible for the set up, maintenance and processing of payroll deductions for contributions following standard gift policy and procedures. · Understands the process and procedure for gift processing and follows cash handling policies and procedures. Works with the FAII to ensure a segregation of duties for all aspects of gift processing and to identify, develop and maintain policies and procedures as needed. Completes cashier training and meets all other assigned compliance training. · Special projects as assigned. · Adheres to internal controls and reporting structure.
MARGINAL OR PERIODIC JOB FUNCTIONS:
REQUIRED EDUCATION / EXPERIENCE: Associates degree or equivalent and one year related experience.
EQUIPMENT: Standard office equipment.
WORKING ENVIRONMENT/LOCATION OF POSITION: Standard office environment.
