Job Title:  Senior Lead Materials Handling Technician

Job Summary:

Responsible for the daily operations of the Inventory, Delivery, Receiving and/or Mail Services areas and occasionally take a tactical lead role to ensure effective supply chain management of designated inventories, materials, equipment, mail and services required.

Major Duties / Critical Tasks:

All areas:

  • Troubleshoots and resolves, or refers to the appropriate area, customer issues and problems. Handles customer inquiries by taking personal responsibility to ensure customer inquiries / issues are resolved. Performs necessary research and problem solving with the customer follows-up on more complex issues.
  • Assists or takes the lead in training new employees
  • Takes the initiative to troubleshoot process related problems and identifies possible solutions. Troubleshoots minor equipment problems in order to prevent down time. Coordinates operational concerns by communicating observations regarding resource, staffing or equipment concerns.
  • Takes the tactical lead in the absence of the team captain to ensure the work is done and the customers’ needs are met. Assesses resource and workflow patterns to determine any needed changes in work assignments to ensure timelines are met and work is completed accurately and efficiently.
  • Develops and maintains effective partnerships with internal and external customers to proactively understand the customer’s requirements and assists with their needs.
  • Assists with process benchmarking and initiates process/environmental improvements.
  • Maintains a clean, neat, organized, and orderly work environment in a manner that is highly professional at all times and in accordance with all UTMB, state and federal guidelines.
  • Maintains vehicle usage log, inspects condition of tires; checks oil, tops off the fuel once per week. Maintains vehicle cleanliness inside and out, and reports any needed maintenance
  • Utilizes email and Internet for work related communications
  • Assists with the facilitation of staff, self development and training ensuring assigned staff members and self are up to date on proper use of computer based systems, proper use of equipment, all required UTMB classes and staying current on field of expertise.
  • Adheres to internal controls and reporting structure.
  • Performs related duties as required.

Inventory:

  • Provides a high level of technical and/or process expertise, for example, can easily perform all area duties such as re-pack, customer service, receiving, put-aways, pick customer orders, etc. Works with the buyers to resolve issues. Is familiar with high volume customers and their needs
  • Assists with coordinating process activities in direct areas of responsibility, as well as assisting with effective performance management of assigned staff members.
  • Assists with coordination and facilitation of team responsibilities and administrative duties required of all Logistics’ teams (i.e. strategic planning, team meetings, time capture, records retention schedules)
  • Assists with the development and implementation of area policies and procedures to facilitate safe and effective Inventory Management processes.
  • Assists with the compiling and analyzing of operational reports, recommending appropriate actions to help assist with effective Inventory Management processes.
  • Assists with managing Supply Management inventories and inventory systems to maximize cost effectiveness and customer satisfaction to meet UTMB fiscal and clinical performance objectives.
  • Assists with the development and maintenance of effective partnerships with internal and external customers to proactively understand ordering/receiving habits to assist with their needs.
  • Assists with effective operations of the Materials Management Information System and related computer systems.
  • Assists with the coordination of efforts between multiple work teams to meet outcomes beneficial to the customer needs.
  • Operates standard materials handling equipment.
  • Perform routine daily tasks, i.e. picking, receiving, let-downs, replenishments, cycle counts, put-aways.
     

Delivery:

  • Provides a high level of technical and/or process expertise, for example, legally qualified to drive a commercial vehicle and knowledge of all delivery routes.
  • Assists with coordinating process activities and assigned staff members in direct areas of responsibility.
  • Assists with managing Cylinder and Distribution operations to maximize cost effectiveness and customer satisfaction to meet UTMB fiscal and institutional performance objectives.
  • Coordinates between multiple work teams to meet outcomes beneficial to the customer needs.
  • Proactively resolves customer issues by going beyond the request and understand the need.
  • Assist with the modification of delivery routes as appropriate.
  • Reviews discrepancies and takes appropriate corrective action as required.
  • Operates vehicles requiring Commercial Drivers License.
  • Operate standard materials handling equipment and vehicles.
  • Fills a variety of cryogenic liquid containers/tanks with liquid nitrogen and liquid oxygen.
  • Utilizes on-line system(s) in the receipt, delivery, and tracking of materials, records, and/or equipment.
  • Performs a variety of the following functions in the handling of consumable goods, records, and equipment:
  • Manifests their delivery routes
  • Stages items for delivery into the appropriate route
  • Prepares deliveries for transport
  • Delivers merchandise to the customer
  • Picks up surplus equipment for the surplus warehouse and items for shipping
     

Receiving:

  • Provides a high level of technical and/or process expertise, for example, has a thorough understand of the receiving system and its functionalities, and has enough process knowledge to drive, check in orders, dock in deliveries, and ship out returns. Is familiar with high volume customers and their ordering habits and can easily find their way around campus.
  • Responsible for coordinating process activities of direct areas of responsibility
  • Coordinates, facilitates, and assists with team responsibilities and administrative duties required of all Logistics’ teams (i.e. team meetings, time capture, records retention schedules)
  • Facilitates the development and implementation of area policies and procedures to facilitate safe and effective receiving, shipping and surplus inventory processes.
  • Compiles and analyzes operational reports, recommending appropriate actions to help assist with effective receiving, shipping and surplus inventory processes.
  • Reviews customer discrepancies, as well as other issues, and takes the appropriate corrective action as required.
  • Facilitates the coordination of efforts between multiple work teams to meet outcomes beneficial to the customer needs.
  • On occasion, provides guidance and mentoring in the professional development of individuals and/or teams.
  • Maintains a clean, neat, organized, and orderly receiving area and office environment that are highly professional at all times and in accordance with all UTMB, state and federal guidelines.
  • Operates standard materials handling equipment
     

Mail Services:

  • Has a high level of technical and/or process expertise, for example, has the knowledge and ability to do any role in the process of sorting and delivering mail to our campus. Full knowledge of multiple routes. Ability to troubleshoot equipment problems and coordinating repairs as needed.
  • Assists with coordinating process activities and assigned staff members in direct areas of responsibility.
  • Assists with the development and implementation of area policies and procedures to facilitate accurate and timely mail processing.
  • Assists with the recommendations for appropriate actions to help with effective delivery and processing of mail.
  • Assists with internal controls with reasonable assurances that operations are effective and efficient, assets are safe guarded, and is in compliance with applicable laws, regulations, and policy.
  • Assists with managing mail operations to maximize cost effectiveness and customer satisfaction to meet UTMB fiscal and institutional performance objectives.
  • Coordinates between multiple work teams to meet outcomes beneficial to the customer needs.
  • Proactively resolves customer issues by going beyond the request and understand the need.
  • Assists with the modification of delivery routes as appropriate.
  • Reviews discrepancies and takes appropriate corrective action as required.
  • Operates standard materials handling equipment including the mail accounting system, banding equipment, mailing machines and vehicles.
  • Utilizes on-line system(s) in the receipt, delivery, and tracking of accountable mail, post office box rentals, and mail accounting reports.
  • Performs a variety of the following functions in the handling of Accountable Mail and Mail processing reports:
  • Documentation of Mail Route times
  • Documentation of Incoming mail volume
  • Preparation of mail for Campus delivery or Post Office
  • Records accountable mail into tracking software
  • Assists with Customer Service through forwarding of mail, Package pick up, and Post Office Box rentals

Required Education / Experience:

  • High School Diploma or equivalent and two years of related experience.
  • Valid Texas Drivers License
  • Fork lift Certification (except Mail)
  • UTMB Motor Vehicle Safety Course

Equipment: 

Materials handling equipment, mailing machines, banding equipment, mail accounting system. (Mail only)
Material handling equipment, fork lifts, electric pallet jacks and other manual related equipment. (Except Mail)
Standard office equipment.
UTMB vehicles

Working Environment:

Standard office and/or warehouse/Mail Center environment.
