Grievance and Appeal Procedures

UTMB is responsible for providing our faculty and staff with a safe and secure work environment in compliance with state and federal regulations and institutional policies.

Aggrieved employees may:

  • File a formal grievance asserting a violation, misinterpretation, misapplication or discriminatory application of a policy, rule or regulation regarding their employment
  • Appeal disciplinary actions resulting in their dismissal, suspension without pay or demotion
  • File a complaint regarding unlawful discrimination, retaliation and sexual harassment
  • Request mediation with an impartial third party to aid in the resolution of disputes

  • Filing Grievances and Appeals

    At UTMB, employees may file a grievance to present a complaint related to wages, hours of work, working conditions, merit raise, job assignments, performance evaluation, unlawful discrimination, reprimand or the interpretation or application of a rule, regulation or policy.

    The aggrieved employee must submit a written request to Human Resources. The request must be made within 10 working days following the date of the action. The failure of the employee to submit the grievance in a timely manner irrevocably waives their grievance rights.

    Employees may also appeal disciplinary actions resulting in dismissal, suspension without pay or demotion.

    The aggrieved employee must submit a written request for a hearing to Human Resources. The request must be made within 10 working days following the date of the disciplinary action. The failure of the employee to submit the appeal in a timely manner irrevocably waives their appeal rights.

  • Filing Complaints of Unlawful Discrimination, Retaliation and Sexual Harassment

    UTMB, in compliance with applicable federal laws and regulations, strives to maintain an environment free from discrimination against individuals on the basis of race, color, national origin, sex, age, religion, disability, sexual orientation, gender identity or expression, genetic information or veteran status. This includes all programs, facilities or services and applies to all employees and students, and anyone who utilizes UTMB facilities.

    In addition, UTMB is committed to providing a work and learning environment that is free from inappropriate conduct that is sexual in nature. Sexual misconduct and sexual harassment in any form, including sexual violence, relationship violence and stalking, will not be tolerated. The institution also prohibits retaliation against employees who report allegations of unlawful discrimination and/or harassment or who participate in an investigation.

    If you believe you are being subjected to any behavior which is prohibited by the institution’s policies and procedures, please report the incident to any member of UTMB’s management, Human Resources or the Department of Internal Investigations.

  • Requesting Mediation

    Mediation is an alternative form of dispute resolution involving an impartial third party, or mediator.

    The third party facilitates communication between the employees involved in a conflict or dispute to promote reconciliation, settlement or understanding of differing viewpoints. Mediation is a voluntary process in which both parties must agree to participate.

Guidance for Leaving UTMB

Guidance for Leaving UTMB

  • Voluntary Separation

    Employees who voluntarily leave employment with UTMB must complete the Exit Checklist to the satisfaction of their department representative. This process is designed to ensure that all university property is surrendered. Should an employee depart without completing the clearance process, UTMB may choose to take the steps necessary to ensure the return of all property.

    Employees leaving employment for reasons other than retirement may contact HR Benefits at (409) 772-2630, (866) 996-8862 or benefits.services@utmb.edu with questions about elected benefits.   • Retirement

    To those employees retiring, congratulations and we appreciate your years of service and dedication in reaching this milestone. We recommend that you contact HR Benefits at (409) 772-2630, (866) 996-8862 or benefits.services@utmb.edu. Retirement group sessions are offered in January, May, August and December to help ensure that all required paperwork has been submitted to continue your benefits under UTMB. Each session is announced through UTMB's Daily Announcements broadcast email.

Employment & Income Verification

Employees should use The Work Number, an automated service provided by UT System, to request proof of employment or income.

  • This service gives employees greater control over the verification process and allows them to authorize access to others.
  • It can be used when applying for a loan, leasing an apartment, buying a car, qualifying for public assistance, verifying references, etc.
  • The Work Number is available 24 hours a day, 7 days a week at www.theworknumber.com.
